Privacy Policy
What we collect, why we collect it, and the choices you have, including how selfie search works.
1. Information we collect
Your account
Your name, email address, organization name, profile photo and timezone, and how you sign in (email and password, or a social sign-in). Passwords are handled by our authentication provider; we cannot read them.
Photos uploaded to albums
The event photos that organizers and contributors upload, with basic file details such as the capture date. We detect the faces in these photos and, for marathon albums, the bib numbers, so that attendees can find their own photos.
Selfies
Only if you choose to use selfie search: up to three selfies and the face data created from them. See the next section.
Purchases
The credit package, amount, date, payment status and reference of each purchase. Card details are entered on our payment partners’ secure pages; we never see or store them.
Activity
- The albums and photos you save, the invitations you send or receive, and your notifications.
- Album views, downloads, shares and selfie searches, counted for the organizer’s statistics using a scrambled visitor ID, not your name.
- Your IP address, used to limit abuse (for example repeated wrong album passwords) and recorded when you accept these documents or give selfie-search consent.
Your device
Basic technical details such as your browser type, and a random ID kept in your browser so we can count album views and limit password attempts.
2. Facial recognition and photo matching
Selfie search is an optional way to find your photos in an album. You never have to use it: you can browse the album or, for marathon albums, search by bib number.
How it works
- Photos uploaded to an album are processed by a face recognition service, which creates a numerical signature for each face it finds.
- When you add a selfie, the same service creates a signature from it. We compare that signature with the ones in the album you are searching and show you the photos that match.
- You must be signed in and give your consent before a selfie is saved or used. A selfie must show exactly one face, and you can keep up to three.
What it is not
- It does not confirm anyone’s identity, and it can miss photos or match the wrong person.
- We do not use face data for advertising, and we do not sell, rent or trade it.
Shared with findmyshots.com
Your saved selfies are the same ones used for photo matching on findmyshots.com when you sign in there with the same account. Adding or deleting a selfie in one place does the same in the other.
Removing your selfies
You can delete a saved selfie at any time, or remove them all with Clear Search History under Account Settings → Privacy & Data. Deleting a selfie removes the image and its face signature. To withdraw your consent entirely, delete your selfies; you can also write to us at privacy@findmyshots.com.
Who processes it
Face data is processed by a third-party cloud provider that acts only on our instructions, under a data processing agreement.
3. How we use your information
We use your information to:
- Run your account, your organization and your albums.
- Process uploads, and help attendees find and download their photos.
- Take payments, add credits and keep billing records.
- Send service messages: email verification, password changes, invitations, receipts and replies to your requests.
- Show organizers how their albums are doing, in totals only.
- Keep FMS Studio secure, prevent abuse and fix problems.
- Meet our legal obligations.
We do not use your photos or selfies for advertising.
4. Who we share it with
- Attendees: see an album’s name, details, organization name and photos, as far as the album’s access setting allows.
- Organizers and contributors: see each other’s names on a shared album and who uploaded each photo. Organizers see totals of views, downloads, shares and selfie searches, not the names of the people behind them.
- Service providers: companies that host and store our data, recognize faces in photos, process payments and deliver email. They may use your information only to provide their service to us.
- Authorities: when the law requires it.
We do not sell your personal information. Our providers may process data in other countries, and by using FMS Studio you agree to that processing.
5. How long we keep it
- Albums and photos: until the organizer deletes them. An album moved to Trash is permanently deleted after 30 days, or sooner if the organizer chooses.
- Saved selfies: until you delete them.
- Saved albums and photos: until you remove them, or the album or photo is deleted.
- Your organization: removed 30 days after you ask us to delete it, unless you cancel within that time.
- Account data exports: the download link works for 7 days, then the file is deleted.
- Notifications: 90 days.
- Billing, payment and consent records: kept for as long as tax, accounting and other laws require, even after an organization is deleted.
6. How we protect it
- Connections to FMS Studio are encrypted (HTTPS).
- People can only reach what their role allows: owner, contributor, viewer or attendee.
- Album passwords are stored in a scrambled form that we cannot read.
- Links to original photo files are temporary and expire after a few minutes.
No system is perfectly secure. If a breach puts your data at risk, we will tell you and the relevant authorities as the law requires.
7. Your choices
Under Account Settings → Privacy & Data you can:
- Request Account Data: get a copy of the data linked to your account.
- Download Billing Data: get your receipts and a list of your transactions.
- Clear Search History: remove your saved albums and saved selfies.
- Delete Organization Account: schedule your organization for deletion.
You can also correct your name, organization name, email and profile photo in Account Settings at any time.
Under the Philippine Data Privacy Act of 2012 and other laws that apply to you, you have the right to know what we hold about you, get a copy, have it corrected or deleted, object to how it is used, and complain to your data protection authority. Rights for specific regions are described in the findmyshots.com Privacy Policy and apply to FMS Studio as well.
If you appear in a photo and want it removed, contact the event organizer or write to us.
